Where the requirements come from
The inspection, testing, and maintenance rules for fire alarm systems live in Chapter 14 of NFPA 72. Local jurisdictions adopt NFPA 72 through their building and fire codes — typically the International Fire Code or NFPA 1 — sometimes with state amendments that tighten frequencies or add reporting rules. What gets inspected and tested, and how often
NFPA 72 splits the work into visual inspections and functional tests, each with its own frequency table. The details vary by device and by code edition, but the general structure looks like this:
Visual inspections. Control panels, remote annunciators, and certain components are inspected on recurring intervals — some as often as weekly if the system is not monitored, most semiannually or annually — to confirm there is no physical damage, obstruction, or trouble condition.
Functional testing. Smoke detectors, heat detectors, pull stations, waterflow and tamper switches connected to the alarm system, notification appliances (horns, strobes, speakers), and the panel itself must be functionally tested, with most initiating devices on an annual cycle. Smoke detector sensitivity must also be verified on the schedule NFPA 72 sets, using the panel's built-in sensitivity reporting or approved test methods.
Batteries and power supplies. Secondary power batteries get periodic inspection and load testing, since a dead battery set defeats the system in a power outage.
Monitoring and communications. If the system transmits signals to a supervising station, those transmission paths must be tested to confirm alarms actually reach the monitoring center and, from there, the fire department.
A full annual test typically exercises every initiating device in the building, which is why annual alarm inspections are scheduled events involving building staff, tenant notice, and coordination with the monitoring company to avoid a fire department dispatch.
Who is allowed to do the work
NFPA 72 requires that inspection, testing, and maintenance be performed by qualified personnel, and most states put teeth on that through licensing: fire alarm contractors and technicians commonly need a state license, NICET certification in fire alarm systems, factory training on the installed panel, or some combination. Check your state fire marshal or contractor licensing board for the exact requirement — this is one of the most state-specific areas in fire protection.
In-house staff can sometimes perform limited visual inspections, but functional testing of a commercial system is almost always contractor work in practice, both because of licensing rules and because testing requires panel access, bypass procedures, and coordination with monitoring.
Records and reporting
Every inspection and test must be documented. NFPA 72 specifies the records to keep — dates, devices tested, results, deficiencies, and the technician responsible — and fire marshals routinely ask for them during fire-code inspections. Keep reports for at least the period your jurisdiction requires (often the interval until the next test, and commonly longer). A growing number of cities require contractors to file reports through third-party compliance systems, so ask your provider whether filing is included in their price.
Deficiencies found during testing must be corrected, and impairments — a system or portion taken out of service — trigger notification duties to the fire department, the monitoring company, and building occupants, along with interim protection measures such as fire watch in some cases.
Budgeting and scheduling
Alarm inspection pricing scales with device count: a system with forty devices is a much shorter job than one with four hundred. Expect the annual full-system test to be the largest visit, with smaller semiannual or quarterly visits if your jurisdiction or system type requires them. Bundling alarm testing with sprinkler and extinguisher work under one service agreement usually reduces total cost and keeps the schedules aligned.
